The Metazoa Snapshot Record Level Security feature allows you to generate a comprehensive report of the security status and access details for any object or custom object. This feature is an essential tool for managing and understanding access permissions within your organization and maintaining compliance.
Feature Overview
-
Selecting Objects and Records:
- You can select any object or custom object from the left panel of the Snapshot dashboard.
- Once an object is selected, you can further refine your selection by choosing specific records based on a filter or select all records.
- The selected object's name will become bold, indicating that it is included in the final display report.
-
Previewing Object Data:
- Once you select an object and its corresponding records, a preview will show the record details by name and ID.
- This preview also displays all the users who have access to these records, the type of access they have, and the reason for their access.
-
Access Types and Reasons:
- User access to a record can be based on their profile (which has "modify all data" set or explicit permission for that object), or a permission set.
- Some users might have access because they are the record owner or due to a sharing rule.
-
Detailed Record Inspection:
- You can click on individual records to calculate and display the users who have access to that particular object. This can include users in specific roles or groups, which makes it a powerful tool for security and compliance analysis.
-
Generating and Sharing the Report:
- After selecting the objects for the report, navigate to the 'Display Report' tab to view the security data for the selected objects.
- The report can be exported in CSV, PDF, or HTML format.
- Alternatively, the report can be scheduled to be sent via email every time a snapshot is taken or saved to a Content folder, depending on your needs.
Conclusion
The Record Level Security report feature in Metazoa Snapshot is an effective tool to monitor and manage access permissions for objects and records. By understanding who has access to what and why, you can strengthen your security, enhance compliance, and make informed decisions about data management in your organization.
